Virtual Terminal

Take payments without a terminal.

Key in credit cards from any browser — for phone orders, mail-in payments, B2B invoicing, and backup when your hardware isn't the right fit. Tampa Bay Pay offers five virtual terminal options — we match you to the one that fits your business.

What it is

A payment page that lives inside your browser.

A virtual terminal is a secure web interface where you manually key in a customer's card details and charge the sale — no physical terminal, no app, no swipe hardware required. Virtual terminal functionality is standard at the payment gateway level, which means the gateway you choose is the virtual terminal you get.

Most providers lock you into a single gateway. Tampa Bay Pay doesn't. We work with five different payment gateways — each with its own virtual terminal — and we match you to the one that fits your business, your workflow, and your integrations.

Who uses it

Built for businesses that take payment after the job, over the phone, or in the mail.

01

B2B Companies

Invoice clients, collect payment over the phone, and reconcile directly into QuickBooks when you pair it with our Hyfin integration.

02

Professional Services

Attorneys, accountants, consultants, and agencies taking card-not-present payments on retainers, installments, and scheduled billing.

03

Field Service & Trades

Plumbers, electricians, HVAC, landscapers, pest control — bill after the work is done, no terminal in the truck required.

04

Medical & Dental

Store a card on file, charge between visits, collect copays and balances without the patient walking back into the office.

05

Phone & Mail Order

The classic MOTO use case — catalog orders, subscriptions, reservation deposits, and anything else that closes over the phone.

06

Terminal Backup

Your POS goes down, your internet drops, your Clover won't sync — you still take cards. A virtual terminal is the safety net.

Your options

Five virtual terminals. One right fit.

Each of the five gateways we work with has its own virtual terminal with its own strengths — built-in QuickBooks sync, cash discounting, advanced fraud tools, API-first architecture, or the industry-standard interface your bookkeeper already knows. Questions

Frequently asked.

No. A virtual terminal runs entirely in the browser. If you have a laptop, tablet, or phone with internet, you're set. Nothing to install and nothing to plug in.
Yes. Every gateway we offer is PCI DSS Level 1 compliant. Card data is tokenized and never stored on your computer. Use the customer vault to charge returning customers without re-entering sensitive data.
Yes. Every virtual terminal we set up supports scheduled recurring billing — weekly, monthly, annually, or custom cadences. You set the amount, date range, and frequency once and the system bills the card on file automatically.
The gateway is the engine — it routes card data to the processor and banks. The virtual terminal is one interface to that engine: a human-facing page inside the gateway where you manually enter card details. Other interfaces to the same gateway include an e-commerce checkout, a mobile SDK, an API for developers, and invoice pay-links.
Yes. Each user gets their own login with role-based permissions. Reporting shows which user ran which transaction — helpful for front desks, inside sales teams, and multi-rep operations.
Keyed-in (card-not-present) transactions carry slightly higher interchange than swiped ones because the risk profile is higher. The exact rate depends on your business type, volume, and ticket size. When we quote you, we'll break out keyed vs. swiped pricing so you see both.
Yes — we route QuickBooks-heavy businesses to our Hyfin gateway, which syncs invoice status and payment records directly into QuickBooks Online. Great fit for B2B, professional services, and service trades billing from QuickBooks.
Yes. It's a web page — it works in any modern mobile browser (Safari, Chrome, Edge). Some gateways also offer a companion mobile app, but you don't need one to run a sale.
