The Basics

What is a payment gateway — and do you need one?

A payment gateway is the technology that securely transmits card data from your customer to your bank — whether that happens in person, online, by phone, or through a subscription system.

If you're only accepting payments in person with a terminal or POS, you may not need a separate gateway. But if you're running an online store, billing customers on a schedule, or taking payments over the phone — a gateway is what makes it possible, securely and compliantly.

Common Questions

Gateway questions — answered straight

Do I need a gateway if I already have a POS system?
Not necessarily. If you're only taking payments in person through a terminal or POS, your processing is handled directly and you don't need a separate gateway. You need a gateway if you want to accept payments online, by phone, via invoices, or on a recurring schedule. We'll tell you honestly in our first conversation whether you need one or not.
How much does a payment gateway cost?
Gateway fees vary by platform but typically include a small monthly fee ($10–$25/month) and a per-transaction fee (usually $0.10–$0.30/transaction). Some gateways charge a setup fee. We're transparent about all costs upfront — no surprises on your first statement. And on dual pricing or cash discount setups, the gateway cost is typically offset by eliminating your processing fees entirely.
Can I keep my existing website and just change the payment processor?
Yes — in most cases. If your website uses a shopping cart or eCommerce platform (WooCommerce, Shopify, Wix, etc.) we can connect a new gateway while keeping your site exactly as it is. The switch usually takes less than a day. If your current processor is overcharging you, changing the gateway behind the scenes is often the fastest way to save money.
What's the difference between a gateway and a processor?
The gateway is the technology that securely transmits card data — it's the "front end" of the transaction. The processor is the financial institution that actually moves money between banks — it's the "back end." You need both, but they're separate. Tampa Bay Pay handles both sides — we pair the right gateway with the right processing rates for your business.
Can I run dual pricing or cash discount through a gateway?
Yes — PayBright Gateway and several others support dual pricing and cash discount programs online. Your checkout can display both the cash price and the card price, and customers choose how they pay. When it works, your processing fees go to zero even on online transactions. We'll tell you if your use case qualifies.
Is it hard to switch from my current gateway?
For most businesses, switching gateways is straightforward. The part that requires the most care is migrating stored customer card data — most gateways support tokenized card migration so your customers don't have to re-enter their info. We handle the migration process and flag any issues before they become problems.

is right for you?
